The information on this page relates to all grants made from November 2025 onwards. If you received a grant from us before November 2025, then your reporting requirements can be found by clicking here. Grants made before November 2025 relate to our previous strategy for 2022 to 2025, and related funding guidelines.
Once our Trustees have approved a grant, we will write to you outlining the terms and conditions, as well as what we need in terms of reporting. This letter will be sent by email and sets out what financial information we need from you in order to make electronic payments. We aim to make payments quickly (usually within one month) of making a decision.
We ask for progress reports and financial updates on the grant usually once a year.
Learning
We ask for updates from our grant-holders about their work, because we want to learn more about what is working and why. We understand that organisations sometimes need to change their approach or that things do not go to plan - we encourage grant-holders to be open about this. If the changes are significant, such as the financial condition of the charity, the senior management team, or something which could materially affect the purpose for which the grant was made, we prefer that you let us know. You do not need to wait until the formal reporting point to inform us of such developments.
The practicalities of reporting
Our grants are for up to five years You will need to provide Progress Reports one year after the previous payment was made to trigger the next payment. We also expect a Final Report at the end of the grant period.
We will send a reminder asking for your reporting one month before the report is due. Your reporting will be split into two parts.
Part one requests the following information:
We will ask grant-holders four questions that will help us to understand more about the learning that is emerging from your grant. You can provide a maximum of two sides of A4, and you can choose how much space to allocate to each answer. For each question you will be asked to tell us what you have done, what you have learned and how this has influenced your work.
1. Your progress as an organisation
How have your goals or strategy developed over the past year? What has driven this progress and/or changes? Feel free to share, if applicable, the kinds of activities and work you have been doing.
2. Your approach to changemaking
What have you been doing to make change happen? What have you been learning and noticing about what works (or doesn’t)?
3. Your approach to advancing justice with individuals and communities
How have you involved individuals and communities with personal or direct experience of the issues? What have you learned about doing this in meaningful and effective ways?
4. Any further reflections
Is there anything else you would like to share with us about your work or the story of your work over the past year (e.g. challenges, changes, or key reflections)?
Grant-holders will also be offered prompts to help shape your responses, and will also be given the option to share as uploads any documents that you feel capture your work over the last year that you want us to be aware of. You will have the option of sharing a maximum of three documents.
Part two requests the following information:
We want to learn more about your assessment of the organisation’s ability to deliver their work in the coming 12 months. We will ask grant-holders to share in a maximum of 500 words an overview of the organisation based on any (major) changes you wish to let us know about, e.g. staffing changes, management or leadership changes, governance changes, restructures, beginning or ending new projects or programmes of work, changes in policies or delivery of their work.
We will also ask for an update on your financial status (including submitting your latest Annual Report and Accounts, or equivalent, and/or a recent set of management accounts if the accounts document is over 10 months old).
Grant-holders will be asked to review your three outcomes and RAG rate them as red (not on track), amber (partially on track), or green (on track), and provide a maximum of 100 words for each outcome explaining why you have chosen this rating. Grant-holders will also be provided with the option to update or replace any of their outcomes, which they can then discuss with their Grants Manager. The text will also include an acknowledgement that some outcomes may require more or less time, and that alterations are acceptable particularly if there have been changes in the external context.
Reapplying
If you have received a grant, you are welcome to apply to us again up to three months before your grant end date. There are no guarantees that your new application to us will be successful, even if your previous grant with us went well as we run an open process and your grant will be reviewed alongside other applications received at the same time.
If you need support with the reapplication process or want to avoid there being a gap between your current grant ending and a possible new grant beginning, then please speak to the member of the team who manages your grant. If you are not sure who manages your grant, then please contact Beth Barker on beth@ellerman.org.uk to request this information.
If you have applied unsuccessfully, you must wait one year from the date of the decision before you reapply.
